Event preparation brings a surprising number of physical things into motion. Cables, signs, table coverings, stationery, and display stands leave storage at different times and return when everyone is tired. A familiar case may contain less than the team remembers, and the next event is already approaching. Tana helps organizers keep a record of what is stored and where, giving preparation a clearer starting point before the first vehicle is packed or the venue doors are opened.

Name storages after the cases, cupboards, and equipment areas your team uses. Add photos of items that volunteers or temporary colleagues may not immediately recognize, and include useful sizes or identifying details in their names and descriptions. Record quantities against the place where each item is kept. If several venues or buildings are involved, locations can group the relevant storages. This makes the inventory understandable to someone joining the preparation for the first time, rather than only to the person who packed away last time.

Before an event, review the items you expect to use and compare their records with the contents of the cases. When materials are consumed or moved, update the affected quantities and storages. On return, a short count can reveal what needs attention before another booking. Low-stock thresholds can help with repeat purchases such as tape, badges, or disposable supplies. Reusable equipment may need a different habit: checking its recorded location and quantity whenever it comes back, while the case is still open.

Start with one equipment case or one recurring event. A QR label on the case can make its storage details easy to open, and a filtered CSV can provide a reference for a physical check. What Tana adds is a shared memory of the objects behind the event: what is in the case, how many, and where the case itself lives. The next group setting up then has somewhere useful to look before asking who remembers.
