A small warehouse can be busy enough to lose track of stock long before it is big enough for anything complicated. Cartons arrive, shelves change, and a product that was easy to find last week ends up behind another delivery. If the only record is a spreadsheet that somebody updates later, the next person starts with a search. Tana helps you organize a practical inventory around items, quantities, and named storages, so the layout of your stock has a shared reference.
Start by naming the racks, shelves, and rooms in language your team already understands. Keep similar items separate where size, model, or packaging matters, and add photos that help distinguish them. Locations can group storages by warehouse or floor. An item’s total shows its recorded quantity across storages, while individual storage records help you see where that quantity sits. This makes it easier to investigate a difference between the amount someone expects and the amount found on a particular shelf.
Receiving and using stock are good moments to maintain the record. Add quantities to the storage where goods are placed, subtract them when they leave, and update both places when moving stock internally. Agree on counting units before the first delivery is entered: a carton and an individual piece should not quietly become interchangeable. Use QR labels to open storage details, or scan supported product barcodes to help find items. These small habits make subsequent searches more useful because the physical work and the recorded count stay connected.
For a manageable rollout, choose one aisle and compare the recorded quantities with a physical count at the end of a normal week. Search and filter the inventory, then export the displayed list as a CSV for review. Low-stock thresholds can draw attention to items whose total is running down.
