Separate a one-off product from a group of identical units, and include the model, size, or other identifying details in its name or description. Add a photo to make recognition easier when searching the inventory. Name boxes and shelves consistently, then record each quantity where it is actually stored. The same system can include envelopes, tape, and other packing supplies, although it helps to give those everyday consumables clearly different names from the goods you sell.

Add incoming stock when you put it away and update quantities when an item leaves. Record storage changes if you reorganize the room or move goods into a packing area. These are manual inventory habits: the record is accurate exactly as often as someone updates it, which is why it helps to update while the box is still in your hands. For packaging materials, low-stock thresholds can flag a falling recorded total. For unique items, a clear photo and a reliable storage location may be the most useful information.

Begin with the shelf that is hardest to search and give each box a QR label that opens its storage details.
