A place to look for every little thing.
A customer asks for a particular yarn shade. There is none on display, but a few balls might still be in a drawer or a stockroom carton. With so many similar colours and sizes, questions often go to the person who remembers putting things away. Recording products and their storage places in Tana gives everyone a shared starting point for finding materials while helping a customer.
Use the names your shop already recognises: a maker and shade code for yarn, a colour and size for beads, or a product code and diameter for buttons. Register variations separately when they need their own counts. Add photos to help staff tell similar materials apart. Set up storages for display shelves, drawers, and back-room boxes, then check both the total for a product and the quantity in each place.
Agree on a counting unit for each product, such as balls of yarn or bags of beads. Staff update quantities as deliveries arrive, products sell, and materials move onto the shop floor. Set low-stock thresholds for regularly replenished supplies. These use the recorded total across all storages, so check the quantities by storage as well when deciding whether a display needs refilling.
Tana’s AI inventory management is a great fit for craft supply shops
Connect a compatible AI assistant through Tana MCP Server to ask questions about your recorded stock, such as “Which beads are running low?” or “Which shelf holds shade 102?” You can also ask it to update quantities when a yarn delivery arrives.
The assistant works with the team you choose when connecting and uses your permissions. Alongside QR labels that open drawer records and CSV exports for stocktakes, it gives staff another way to check and maintain the shop’s inventory.
